Overview

Have you created a template that works exceptionally well for your practice? Share it with the Ambient Scribe community! This guide walks you through submitting your custom templates for inclusion in the Template Marketplace.

Why Submit to the Marketplace?

  • Help colleagues in your specialty improve their documentation

  • Contribute to the Ambient Scribe community

  • Recognition - your name appears as the template author

  • Improve healthcare documentation across the industry

What Makes a Good Marketplace Template

Before submitting, ensure your template:

Content Quality

  • Clear, well-organized sections

  • Appropriate for the specified specialty

  • Follows clinical documentation best practices

  • Free of patient-specific information (PHI)

Documentation

  • Descriptive name that clearly indicates use case

  • Detailed description explaining when to use it

  • Example note showing expected output format

Technical Requirements

  • No syntax errors in instructions

  • Properly formatted sections

  • Compatible with multiple EHR systems (if applicable)

Submitting a Personal Template

Step 1: Navigate to Your Templates

  1. Go to Settings > Templates

  2. Find the template you want to submit

Step 2: Start Submission

  1. Click the action menu (⋮) on the template row

  2. Select "Submit to Marketplace" from the dropdown menu

  3. A submission form will open

Step 3: Complete the Submission Form

Step 4: Review and Submit

  1. Preview your submission

  2. Verify all information is correct

  3. Click "Submit for Review"

  4. You'll receive a confirmation message

Submitting an Organization Template

Organization administrators can submit organization-level templates:

Step 1: Access Organization Templates

  1. Navigate to Organization > Templates

  2. Find the template you want to submit

Step 2: Submit from Organization View

  1. Click the action menu (⋮) on the template row

  2. Select "Submit to Marketplace" from the dropdown menu

  3. Complete the same submission form

  4. The template will be attributed to your organization

Tracking Your Submissions

Viewing Submission Status

For Personal Templates:
1. Go to Settings > Templates
2. Click "My Submissions" tab
3. View all your pending, approved, and rejected submissions

For Organization Templates:
1. Go to Organization > Templates
2. Click "Marketplace Submissions" tab
3. View organization submissions

Submission Statuses Explained

Status

Meaning

Pending

Awaiting review by our content team

Approved

Accepted and published to marketplace

Rejected

Not accepted (feedback provided)

Note: If you cancel a pending submission, it is removed from the queue entirely rather than changing to a "cancelled" status.

Typical Review Timeline

  • Initial review: 2-5 business days

  • Additional review (if needed): 3-7 business days

  • Publication after approval: Within 24 hours

What Happens During Review

Our content team evaluates submissions based on:

  1. Quality - Is the template well-structured?

  2. Accuracy - Are clinical guidelines followed?

  3. Uniqueness - Does it offer something different?

  4. Completeness - Are all fields properly filled?

  5. Safety - Does it follow documentation standards?

If Your Submission is Approved

  • Your template is published to the marketplace

  • You receive a notification

  • Other users can discover and install your template

  • Install count tracking begins

If Your Submission is Rejected

  • You receive feedback explaining why

  • You can modify and resubmit

  • Common rejection reasons:

  • Incomplete documentation

  • Too similar to existing templates

  • Quality concerns

  • Missing required sections

Cancelling a Submission

You can cancel pending submissions:

  1. Find your submission in the submissions list

  2. Click "Cancel Submission"

  3. Confirm the cancellation

  4. The template returns to your personal/organization library

Tips for Successful Submissions

Write Clear Instructions

Poor: "Write a note"
Good: "Create a comprehensive cardiology consultation note including chief complaint, cardiac history, physical exam findings, ECG interpretation, assessment, and detailed management plan"

Provide Meaningful Examples

Include an example note that demonstrates:
- All sections being used
- Appropriate level of detail
- Proper formatting

Choose the Right Specialty

  • Select the most specific specialty applicable

  • If truly general-purpose, select "General Practice"

Test Before Submitting

  • Use the template for several encounters

  • Gather feedback from colleagues

  • Refine based on real-world usage

Q: Can I update a template after it's published?
A: Contact support to request updates to published templates.

Q: Do I retain rights to my template?
A: Yes, you retain ownership. By submitting, you grant Ambient Scribe permission to distribute it.

Q: Can I remove my template from the marketplace?
A: Yes, contact support to request removal.

Q: Is there compensation for accepted templates?
A: Currently, marketplace contributions are voluntary. Recognition programs may be introduced in the future.

Q: Can I submit templates created from marketplace installs?
A: Yes, if you've significantly customized them. Duplicate submissions of existing templates will be rejected.
