Organization Encounter Analytics
Overview
Ambient Scribe provides comprehensive encounter analytics for organization admins to track documentation activity, monitor provider engagement, and understand usage patterns across your healthcare team.
Accessing Analytics
Sign in as an organization admin
Navigate to Organization
Click the Analysis tab
View your organization's encounter dashboard
Dashboard Controls
At the top of the analytics dashboard, you can filter the data:
Date Range
Select a preset time period:
- Last 7 days
- Last 30 days (default)
- Month to Date
- Quarter to Date
- Year to Date
- Custom Range
Granularity
Choose how data is grouped:
- Day: Daily data points
- Week: Weekly aggregates
- Month: Monthly aggregates
Specialty Filter
Filter analytics to specific specialties within your organization.
Summary Cards
Four key metrics appear at the top of the dashboard:
Metric | Description |
Total Encounters | Total number of recorded encounters across all providers |
Total Providers | Number of providers active during the selected period |
Avg Encounters/Provider | Average encounters per active provider |
Total Time Saved | Estimated documentation time freed (displayed in hours) |
Performance Trends Chart
A multi-line chart showing organization trends over time with four metrics:
Line | Description | Y-Axis |
Encounter Count | Number of encounters per time period | Left (Count) |
Active Providers | Providers who recorded in each period | Left (Count) |
Avg Encounters/Provider | Per-provider average each period | Left (Count) |
Sent to EHR Rate | Percentage of notes sent to EHR | Right (Percentage) |
Reading the chart:
- Hover over data points to see exact values
- Blue line = Encounter Count
- Orange line = Active Providers
- Purple line = Avg Encounters/Provider
- Teal line = Sent to EHR Rate
Top Specialties Chart
A horizontal bar chart showing the top 10 specialties by encounter volume:
Specialties are ranked by total encounters
Each bar shows the encounter count
Hover for exact numbers
Useful for understanding which specialties drive the most documentation
Top Providers Chart

Providers are ranked by total encounters
Shows provider name or email
Hover for exact numbers
Helps identify your highest-volume users
Detailed Analytics Tables
Below the charts, tabbed tables provide granular data:
By Specialty Tab
Column | Description |
Specialty | Medical specialty name |
Encounters | Total encounters for this specialty |
Providers | Number of providers in this specialty |
Avg/Provider | Average encounters per provider |
Use pagination to navigate through all specialties.
By Provider Tab
Column | Description |
Provider | Provider name and email |
Specialty | Provider's medical specialty |
Encounters | Total encounters for this provider |
Actions | Menu with "View Dashboard" option |
Filtering by Specialty:
Use the dropdown above the table to filter providers by specialty.
View Dashboard:
Click the three-dot menu on any provider row and select "View Dashboard" to see detailed individual analytics for that provider.

When you click "View Dashboard" for a provider, a modal appears with detailed individual analytics including:
Provider's encounter history
Usage trends over time
Additional performance metrics
Understanding the Data
What Counts as an Encounter?
An encounter is counted when a provider:
1. Records a patient conversation
2. The recording is processed
3. A note is generated
Time Saved Calculation
Time saved is estimated based on:
- Average manual documentation time
- Number of encounters processed
- Displayed in hours for easy interpretation
EHR Sent Rate
The percentage of generated notes that were sent to the EHR system. This requires:
- Active EHR integration
- Users clicking "Send to EHR" on their notes
Using Analytics Effectively
Monitoring Adoption
Track provider adoption by watching:
- Total Providers count over time
- Individual provider encounter counts
- Providers with zero encounters (may need training)
Identifying Training Needs
Look for:
- Providers with low encounter counts
- Specialties with lower-than-expected usage
- Declining trends in specific areas
Demonstrating ROI
Export or screenshot analytics for:
- Executive reporting
- Board presentations
- Vendor reviews
- Budget justification

Troubleshooting
Analytics Not Loading
Refresh the page
Check your internet connection
Try a different date range
Contact support if the issue persists
Data Seems Incorrect
Verify the date range is correct
Check specialty filters
Allow 24 hours for recent data to sync
Contact support with specific discrepancies
Provider Missing from List
Verify provider is in your organization
Check if they've recorded any encounters
Providers with zero encounters still appear in the list
Contact support if they should appear but don't
